This page explains what information Demetria Real Estate collects when you reserve the free moving truck through this website, why we collect it, and how it's handled. This program is operated by Aaron Chadbourne and Demetria Real Estate as a free courtesy for clients and the local community — we're not in the business of selling or sharing your information.
What we collect
When you book a reservation, we collect:
- Your name, email address, phone number, and mailing address.
- Your requested pickup date, pickup time, and return time.
- A photo of your driver's license and current auto insurance card, and the same for any additional authorized drivers you add. We use automated text extraction (OCR) on these images to read details like your name, date of birth, license number, and insurance policy/expiration information, so a human doesn't have to manually retype them.
- Your confirmation that you're at least 21 years old and will be the primary driver, and that your insurance is active and your information is accurate.
- Basic technical information (like your IP address and request timestamp) recorded automatically when you submit a reservation, for security and fraud-prevention purposes.
How we use it
We use this information only to:
- Process and confirm (or, when needed, manually review) your reservation.
- Verify your identity and insurance against the license/insurance card you upload.
- Prepare the printable loan agreement you'll sign in person at pickup, and send reservation-related emails (confirmation, a reminder the day before pickup, and — if applicable — a rejection or cancellation notice).
- Create a calendar hold on our internal pickup/return schedule so we don't double-book the truck.
We don't use your information for advertising, and we don't sell it to anyone.
Who we share it with
We use a small number of service providers to run this program, each of whom only processes your data on our behalf to deliver the service:
- Supabase, which securely hosts our database and stores your uploaded documents.
- Amazon Web Services (Textract), which reads the license/insurance images.
- Resend, which delivers the emails described above.
- Google Calendar, which we use internally to track truck availability (only your name and pickup/return window are added to that calendar).
We don't share your information with anyone else, except where required by law.
How long we keep it
Your uploaded license and insurance card images are automatically deleted after a limited retention window (currently 90 days) once uploaded. Your reservation record itself (name, contact info, dates) is kept for our own recordkeeping and to resolve any questions about past reservations, but is not used for anything beyond that.
Your choices
If you'd like a copy of the information we have on file, or would like us to delete it (once your reservation is complete and any retention requirement has passed), just email us at team@godemetria.com and we'll take care of it.
